This Privacy Policy explains how EasySync360 (“we”, “us”) collects, uses, stores and protects information when you use our invoicing and document platform. We process personal information in line with applicable data-protection law, including the Protection of Personal Information Act (POPIA) in South Africa.
1. Information we collect
We collect information you provide and information generated as you use the service:
- Account & company data — name, email, phone, company name, address and base currency.
- Business records — clients, products, invoices, quotes, purchase orders and uploaded documents you create in the platform.
- Authentication data — hashed passwords and, where enabled, two-factor secrets (stored encrypted).
- Usage & technical data — log-in activity, IP address, device/browser metadata and page views used to keep the service secure and reliable.
2. How we use your information
- To provide and operate the platform and its features.
- To authenticate you and protect your account.
- To process subscription payments and send transactional email.
- To diagnose problems, prevent abuse and improve the service.
- To meet legal, accounting and tax obligations.
3. Multi-tenant data isolation
EasySync360 is multi-tenant. Your company’s records are scoped to your organisation and are not visible to other tenants. Access within your organisation is governed by the role assigned to each team member (admin, user or viewer).
4. Payment information
Card and bank details for subscription payments are handled by our payment gateway. We do not store full card numbers on our servers. Where you submit manual proof of payment, the file is stored privately and is accessible only to authorised reviewers.
5. Data security
We use industry-standard safeguards including encryption in transit, hashed credentials, encrypted secrets at rest, role-based access control and audit logging. No method of transmission or storage is perfectly secure, but we work to protect your data and to respond promptly to any incident.
6. Data retention
We retain your information for as long as your account is active and as needed to provide the service and comply with legal obligations. You may request deletion of your account; some records may be retained where the law requires it.
